FoE Extensions

This procedure should be read in conjunction with, and is subject to, the University's Assessment and Results Policy (MPF1326).

Eligibility

Students may be considered for an extension if they can demonstrate that unforeseen circumstances have affected their capacity to prepare for or submit an assessment item by the set due date/time.

Note: If seeking an extension of greater than 10 working days or lodging an extension request after the assessment due date, students must apply for Special Consideration.

Potential circumstances eligible for extension:
Circumstances Accepted forms of evidence

Health/medical grounds for self or a dependent

  • Medical certificate dated from the last 3 months OR
  • Health Professional Report OR
  • Academic Adjustment Plan OR
  • Carer’s certificate OR
  • Official Centrelink document or letter from a GP to verify carer responsibilities and impact on your assessment OR
  • Statutory Declaration
Elite athlete/performer status
  • Registration as an elite athlete/performer with the University
Defence reservist or emergency volunteering
  • A signed letter on official letterhead from relevant organisations outlining your duties/obligations
Hardship or trauma

Evidence will vary depending on the nature of the circumstances, but may include:

  • Statutory Declaration OR
  • Signed police reports or court order documents OR
  • Documentation from the Safer Community Program OR
  • Notification from emergency services such as the Country Fire Authority (CFA)

Unexpected spike in or requirement to take on extra work duties

  • Letter from principal/employer on school/ company letterhead attesting to extra duties
Family violence
  • No evidence required for an extension of up to 5 working days
  • A Statutory Declaration can be provided for up to an additional 5 working days
Bereavement
  • No evidence required for an extension of up to 5 working days
  • A Statutory Declaration can be provided for up to an additional 5 working days
Religious/cultural observance
  • A signed letter from your religious congregation or cultural authority outlining the nature of observances and impact on assessment
Academic circumstances (eg late placement impacting ability to complete placement-related task)
  • Email from the relevant academic staff member

**Note that extensions may not be possible for any or all 10 working days due to the nature of the assessment

Circumstances NOT grounds for extension:
  • Computer failure
  • Public transport delays
  • Misreading submission date/time
  • Personal events such as weddings or birthdays
  • Travel/holidays

Outcomes

Students will be advised of the outcome of their application within three working days of submitting the application.

Appealing/reviewing outcome

If a student feels there are grounds for reconsideration of the outcome provided, they may seek a review. Students should explain the grounds upon which they wish their application to be reconsidered and include any relevant new supporting documentation (if applicable) to support the review request. Review requests will be responded to within three working days.

Students should continue to work on their assessment until receiving an outcome from their review request.

Submitting work

Pending extension outcome

If a student has not received an outcome by the original due date/time of the assessment, they should remain patient for the faculty to provide an outcome within the 3 working day processing time.

Students should continue working on their assessment until they receive an outcome for their extension application.

Approved extension outcome

Students with an approved extension should submit their work via the LMS. Once the extension has been approved, the LMS will update with the new due date/time, and the subject coordinator will be updated via an email notification.

If a student has difficulties uploading their assessment to the LMS, they should directly email their subject coordinator with their assignment attached.

How to apply

Students must submit extension applications via the FoE Extensions Portal.

Note: Extension requests should NOT be made directly to academic staff – extensions are only official if approved through the Extensions Portal.

The FoE Extension portal allows students to submit one application per subject assessment at a time. If applying for extensions across multiple subjects/assessments, multiple applications will need to be submitted.

Apply for an extension (up to 10 working days)

If applying for an extension of greater than 10 working days and/or after the assessment due date, students should submit a Special Consideration application.
